Information We Collect

Depending on how you interact with Pingkian, we may collect identity and contact details, date of birth and location, membership or application information, organizational affiliations, form responses, formal application photos, Officership CVs, partnership inquiry details, contact messages, and records needed to administer coalition activities.

How Information Is Used

Information is used for membership and recruitment, eligibility and record verification, application screening, officer and member administration, partnership coordination, responding to inquiries, organizational communications, reporting, safeguarding the website, and maintaining Pingkian institutional records. Subjective application answers are reviewed by authorized people and are not automatically treated as right-or-wrong screening answers.

Storage & Service Providers

Pingkian currently uses Cloudflare services for website hosting, database and file storage, and security controls. Authorized recruitment reporting may be mirrored to Google Sheets, and official application communications may be sent through Google services. Cloudflare Turnstile may process technical information needed to protect public forms from automated abuse.

Access & Sharing

Personal information is limited to authorized Pingkian officers or personnel who need it for their responsibilities and to service providers used to operate the system. Pingkian does not sell personal information. Private applicant photos, CVs, and restricted documents are not intended for public display unless a separate, authorized public use is approved.

Retention

Active application records are kept while recruitment is ongoing. Declined, withdrawn, or stale applications from closed campaigns are moved to the Application Archive and retained for at least six months before they become eligible for Super Admin permanent deletion. Member records, including Former Members, and Contact or partnership records may be retained as organizational history and operational records, subject to applicable law and legitimate organizational needs.

Your Choices & Privacy Rights

You may contact Pingkian to request correction of inaccurate personal information, ask about information held about you, or raise a privacy concern. Requests are handled subject to applicable Philippine data privacy law, organizational recordkeeping obligations, and any lawful limitations that apply.

Security

Pingkian applies access controls, private-file restrictions, security verification, audit logging, and other technical and organizational safeguards intended to protect information. No online system can guarantee absolute security, so protections are reviewed and improved as the platform changes.
